1. Capture: it comes in however it comes in
Documents rarely arrive in a tidy stream. Some are scanned from a copier in batches. Some are PDFs emailed by counsel or a vendor. Some are photos a staff member took of a signed page in the field. PaperlessZen accepts all of them through the same intake, so you are not maintaining three different filing habits for three different sources. An intake email address means a document can go from an inbox to the archive without a detour through someone’s desktop.
For the paper itself, a desktop capture app, PaperlessZen Desktop, is in development: it watches the folders your scanners and copiers already write to and reads each page on the machine, so a document becomes searchable before it ever uploads. Capture happens where the paper is, and getting documents in stops being the bottleneck.
2. Read: every page becomes text
Each page is read with optical character recognition, so the words inside a scan become searchable text, not just an image. This is the step that separates a real document system from a folder full of PDFs. A scan you cannot search is a photograph of information. Once the text is readable, everything downstream becomes possible: search, classification, and pulling obligations out of the language of the document.
3. Classify and file: the system proposes, you confirm
PaperlessZen looks at what it just read and works out what the document is and where it belongs. It proposes a classification and a filing location and shows you its reasoning. You confirm or correct in one click. You are reviewing suggestions, not typing names into a form or dragging files into folders. For a backlog, this is the difference between a summer of temp staff and an afternoon of confirmations.
4. Connect: documents attach to the record, not a folder
A filed document links to the record it concerns, a donor, a vendor, a fund, a board. Everything about that relationship then sits together: agreements, amendments, side letters, correspondence, in one place and in order. Because the link is to the record and not to a folder path, reorganizing or renaming never orphans a file. Whoever opens the record next sees the full history without guessing which drive holds it.
5. Search and ask: find the passage and the page
Full-text search covers every page of every document. Search a phrase you half remember and land on the exact file and the exact page. You can also ask the archive a plain question, and PaperlessZen returns the answer and the page it came from, with the passage highlighted. It does not compose an essay and ask you to trust it. It shows you the source so you can read the clause yourself. That distinction matters when the answer is going into a report or a conversation about money.
6. Track obligations: dates pulled from the text
Many documents make promises: a reporting cadence, a renewal date, a pledge schedule, a naming condition. PaperlessZen pulls those commitments out of the text and tracks them as dates and terms you can see across the whole archive. An obligation stops depending on anyone remembering it, and the right person hears about a deadline before it passes rather than after.
7. Route approvals: sign-off on the record
When a document needs review, it moves through the people who have to see it, in the order they have to see it, and the approval trail stays attached. When someone outside needs to countersign, a secure link handles it without email attachments drifting around. What you are left with is one clean record of who agreed to what, and when.
8. Govern: retention, holds, audit, and safe sharing
Every view, share, and download is logged. Records can be locked to a retention schedule and placed under a legal hold when a matter requires it, so nothing is deleted by accident. When you need to share a confidential document outside the institution, PaperlessZen issues a time-limited link you can revoke the moment it has served its purpose. How long until our documents are searchable?
Most teams send a pilot batch and watch it become searchable the same week. There is no data-entry project and no long implementation between you and a working archive.
Do we have to sort documents into folders?
No. The system reads each document, proposes where it belongs and which record it connects to, and you confirm. You review its suggestions instead of filing by hand.
Does PaperlessZen change or rewrite our documents?
No. The original file is kept exactly as it arrived. Reading, classifying, and tracking obligations all happen alongside the document, never inside it. Earlier versions are retained.
What if the system files something in the wrong place?
You confirm every classification before it sticks, so a wrong guess is a one-click correction, not a lost document. Corrections also teach the system your own filing patterns over time.
