What is a system of record?

A system of record is the authoritative source for a particular kind of information: the single place an organization trusts as correct when copies or versions disagree. It is the version that wins.

What it actually means

In any organization, the same information tends to exist in several places. A donor’s details might be in a CRM, a spreadsheet, and three people’s inboxes. The system of record is the one that is considered official, the definitive source. Everything else is a copy, and when they conflict, the system of record is the answer.

The idea matters most where being authoritative counts. For contacts and relationships, your CRM is usually the system of record. For documents, the signed agreements, the executed contracts, the official minutes, the system of record is wherever those documents are kept in their authoritative, governed form. If that place is “a shared drive, probably, unless it is in someone’s email,” then you do not really have a system of record for your documents. You have copies scattered across systems and no agreed source of truth.

System of record versus system of engagement

A useful distinction pairs the system of record with the system of engagement, the tool where day-to-day work happens. A CRM is a system of engagement for relationships: it is where gift officers work. But a CRM is not built to be the authoritative, governed home for documents. The system of record for documents is a document system, an EDMS, that keeps them findable, versioned, and governed, and links them to the records in your systems of engagement.

Why it matters

Without a clear system of record for documents, every important question has an uncertain answer. Which version of the agreement is current? Is this the signed copy or a draft? Has this been amended? A real system of record removes that doubt: there is one authoritative version, its history is intact, and its handling is logged.
