Ten questions to ask in any document management demo

A software demo is a performance. It is rehearsed, it uses clean sample data, and it is designed to show the product at its best. That is fair enough, but it means the burden is on you to ask the questions that reveal how the thing actually behaves on your messy, real documents. Here are ten that work in any document management demo, regardless of whose software is on the screen. We would be glad to answer all of them about ours.

1. Can you search inside a scanned document, not just its file name? Ask them to search for a phrase from the body of a scanned page. If search only matches file names and tags, the archive is not really searchable. Insist on seeing full-text search work on an actual scan.

2. When I ask the system a question, does it show me the source? If a product answers questions about your documents, ask where the answer comes from. A trustworthy system returns the passage and the page, so you can verify it. Be wary of anything that writes a confident answer with nothing to check it against.

3. What happens to a document you don’t recognize? Demos use documents the system handles perfectly. Ask what happens with a messy, ambiguous, or unusual document. Does it get quietly misfiled, or does it get routed to a human to confirm? The honest answer is that people should stay in the loop for the ambiguous cases.

4. How do we get our documents in, at scale? A demo of uploading one file tells you nothing about migrating ten thousand. Ask specifically how a backlog comes in, and whether it requires re-keying data or just confirming what the system read.

5. Can it track the obligations inside a document, or just store it? Storing a gift agreement is easy. Ask whether the system can pull the reporting date out of it and remind you. Tracking obligations is where storage becomes management.

6. Show me the audit trail. Ask to see exactly who viewed, shared, and downloaded a document, and when. If the audit trail is thin or hard to produce, that is a problem for any record that matters.

7. How does retention and legal hold actually work? Ask them to place a legal hold and show that it overrides deletion. Ask who is allowed to do it. Governance that only exists on a slide is not governance.

8. Can we get our data back out? Ask directly: if we leave, how do we export everything? A vendor confident in their value will answer plainly. Hesitation here tells you something.

9. Does it change our documents? Confirm that the original file is preserved unaltered and that earlier versions are retained. A document system should never rewrite your documents.

10. What is real today versus on the roadmap? Ask which features are live and which are planned. Every product has a roadmap; the question is whether the vendor is honest about the line between now and later.

How to run the demo

Two practical tips make these questions land.

Bring your own documents. A vendor who will run the demo on a few of your real, imperfect files is showing confidence. One who insists on only their sample data is showing you a rehearsal. Even a handful of your own documents will surface more truth than an hour of polished slides.

And watch for the honest no. The goal is not to find a perfect product. It is to find one whose real strengths match your real problem, run by people who will tell you the truth.

No product does everything, and a vendor who admits a limitation or a roadmap gap is more trustworthy than one who has a smooth answer for everything.
